Job Description

We are looking for an Assistant whose role will be:

  • Assist the CEO with all travel needs, arranging appointments, filing important documents on the Cloud, office management, etc
  • Data entry and admin support for the CEO, Sales and Events teams
  • Manage and maintain large database
  • Administration and maintenance of all software (Salesforce, Dropbox, RingCentral, Cirrus, proprietary, internal server)
  • Troubleshooting for various software
  • Light reception, answer phones
  • Willing to take on any and all tasks

Required Experience:

  • Administrative experience (minimum 5-10 years) in a sales and/or high traffic environment
  • Data Entry experience (minimum 5-10 years) especially with a CRM like Salesforce
  • Database experience (minimum 5-10 years) especially with a CRM like Salesforce
  • Customer service experience in an office environment
  • Calendar management is a must

Required Skillset

  • Proven ability to work with accuracy and efficiency in a high energy environment
  • Capable of handling and completing multiple tasks with multiple interruptions
  • Demonstrated time-management skills and meeting tight timelines
  • Excels at prioritizing tasks from multiple executives
  • Thrives at working under minimal supervision
  • Knowledge of and/or experience in the speaking, event planning or meetings industry will be an asset

Essential Technology:

  • Experience with a CRM software such as Salesforce, Yesware, ACT or Goldmine
  • Advanced capability with the Microsoft Office suite of programs, with a high accuracy rating
  • You are experienced with social media, particularly Twitter, Facebook, LinkedIn and YouTube
  • You are experienced with Dropbox and the Cloud
  • You are proficient with internet research
  • You are proficient in a Mac environment
  • You are an advanced user of Google Mail & Calendars
  • Typing speed of at least 60 wpm

The four-time undefeated MMA champion now MMA trainer, Frank Shamrock, has developed a system for training would-be fighters. I’m not a huge MMA fan – but I think there is a lot of merit to his system. The system is called “+, -, =”. Shamrock’s theory is that in order to be the best, you need to work with someone better than you, someone equal to you and someone whom you can teach. Shamrock believes this builds the best fighters.
We certainly don’t have to be an MMA fighter to benefit from this system. The same can be applied to us in any scenario. Training with someone better than us pushes us past our limits and helps us see greater possibilities. Training with our equal tests our skills and in the process they become a peer, allow us to create cooperation, shared learning and has a mastermind effect. Teaching allows us to review and analyze our skills. To truly master something you need to be able to teach it. All of us need to be in a position to get the opportunity to teach and to have the level of mastery to be able to teach. Teaching allows us to understand our skills at a higher level.
